What is the What You Expect panel?

This privacy policy applies to any research activities on the What You Expect panel. By joining the What You Expect panel, you will be representing the citizens of Europe – and of [insert country]. As a panel member you will complete online surveys that take an average of 30 minutes each month. As a reward for being an active member, you will collect points each month. You can convert these points into Amazon vouchers or choose to support a charity. You can opt-out at any time.

Who is running the What You Expect panel?

Ipsos NV is an independent survey organisation based in Belgium, and is part of the worldwide group of companies. How and for which purpose will the information you provide be used?

Your responses will be used solely for research purposes, and will be stored separately from your personal information, such as name, phone number and email address. Your participation, together with your individual responses to the surveys will be kept strictly confidential. Ipsos may append your personal data (e.g. gender, age, level of education) to your responses in monthly surveys for the purpose of analysing the survey data and producing anonymous, statistical research results. The results of the surveys will always be anonymised and you will NOT be identifiable in any published results. None of the information you provide during this research will be used for marketing, nor will we sell or pass on your information to any third party for marketing or advertising purposes.

When you join the What You Expect panel, Ipsos enters into a contract with you, which is subject to this Privacy Policy as well as our Terms and Conditions[add hyperlink to T&C]. In order to fulfil our obligations to you under this contract, invite you to surveys and send announcements, we need to collect and process the personal data requested during the recruitment and welcome survey. This personal data is also required in order for us to send you rewards and follow-up on the redemption process. Ipsos takes all reasonable steps to ensure that any personal data that is being processed is accurate, adequate, relevant and not excessive, given the purpose for which it was obtained. Access to your personal data will be limited to only those Ipsos staff involved in the What You Expect panel.

How long will Ipsos keep the information you provide?

Ipsos will not retain personal data any longer than is necessary to fulfil the purpose(s) for which the personal data was collected. If you earned points, Ipsos will retain personal data about you and the points earned for a period of one year beyond the end of your panel membership in order to fulfil any reward. Once you redeem your points for a reward, Ipsos will retain the personal data specifically required for reward fulfilment for a period of two years. At the end of this period, Ipsos will securely destroy all the personal information, leaving only anonymous research results.

How does Ipsos ensure your personal information is held securely?

Ipsos takes every reasonable precaution to ensure your information is protected from any unauthorised disclosure or access, accidental or unlawful destruction or accidental loss, or alteration, or other unlawful forms of processing. These precautions include appropriate physical security of our offices, controlled access to computer systems, and use of secure, encrypted internet connections when collecting personal information.

Does the panel collect information via ‘cookies’ and ‘digital fingerprinting’?

The online surveys and panel portal collect information through the use of 'cookies'. These are small files stored on your computer. These files are used as sparingly as possible and only for quality control, validation and, more importantly, to prevent us sending you reminders for a survey you have already completed. It is possible for you to delete 'cookies' or to prevent their use by adjusting the browser settings on your computer. However, this will stop the surveys and portal to work properly and you will not be able to participate.

Solely for the purpose of ensuring that the study questionnaire is delivered in a form suited to the software your device uses, Ipsos also automatically captures technical information about the operating system, display settings and browser type; for mobile device, the type and brand is captured. Ipsos does not capture any other information from your computer or device.

Ipsos may also use digital fingerprint technology to gather certain information about your computer hardware and software (e.g. IP address). This information is sent to our trusted provider who converts it into a unique serial number – “a digital fingerprint" – and determines if it matches previous fingerprints. The digital fingerprint created is not tied to any of your personal data, but is stored separately on secured servers and is only used for quality control and fraud prevention, and for preventing members from completing a survey more than once.

Who can you contact concerning the use of your data and how can you exercise your rights as a data subject?

Participation in the panel and surveys is completely voluntary and you can opt-out at any time. You have the right to access your personal data, the right to rectify any data that are inaccurate or incomplete and the right to request to have processing restricted under the conditions laid down in the applicable data protection rules or erased if you consider that your data have been unlawfully processed or object to the processing for legitimate reasons relating to your particular situation.
